1 - Introduction

Both InphoniteVoice and ReminderPro were designed to interface with over 400 Patient Management (PMS) and Electronic Medical Records (EMR) applications. They will import pertinent appointment and patient data from these applications in order to automate the reminder call process for your clients.

For the majority of these PMS/EMR systems, the import is a file-based import. That is, InphoniteVoice and ReminderPro pull the necessary information from a text file, and uses that data to process the reminder calls. This requires you — the user — to create a file from the PMS/EMR system and save it to the hard drive of the computer or to a network location accessible to that computer. The path to the file is then set within our application as the source file for the importable data.

Of course, the file exported from the PMS/EMR system must meet certain requirements in order for InphoniteVoice and ReminderPro to import the data contained in it. While the format of the data will vary from system to system, there are basic requirements that must be met.

This article discusses the basic requirements for the file exported from the PMS/EMR system our applications import from.

2 - More Information

InphoniteVoice and ReminderPro require a file exported from a PMS/EMR system to meet these criteria:

  • The file must be an ASCII text file. The file may be tab-delimited, comma separated, or formatted (as a report).
  • It must always be saved to the same location, with the same filename.
  • The file must contain at least the following fields:
    • Patient name, first and last.
    • Patient phone number.
    • Appointment date.
    • Appointment time.
  • The file should included appointment data for the day to be called (rather than historical appointments along with it).
  • If you will not be sending the same message to all patients, the file must contain appointment data that would be used for message assignment. For example, if messages will be assigned to patients based upon the Provider, Appointment Type/Reason, and/or Location, these fields must be included in the source file.
  • The file must be created from the PMS/EMR system in the same way each time, so we recommend documenting the process of creating the file for those who would be responsible for doing so.

In special situations, imports can be customized to better meet your needs. Contact technical support for assistance, if necessary.
