As you use ReminderPro, you will probably find times when you are not in the office to manually start a call session. Perhaps you want calls to be made on Saturdays and/or Sundays. Or perhaps you would have them made during a holiday. Whatever the case, this article will help you configure ReminderPro to work independently for a few days, until your return.

The first step in creating a call session that will run for multiple days is to get the proper appointments on the calendar. How this is accomplished will depend on your import module.
If your practice management system allows you to create an export file for a range of days, then create a file for the proper range of dates and run your ReminderPro import as you would normally. The appointments will be placed on the calendar in ReminderPro on their proper days.
If your practice management system only allows you to create an export file for only one day, then follow your normal import procedure for the first day of the range. Then navigate to
Edit > Import Setup > Update > System Setup in ReminderPro and make sure the checkbox for
Purge appointments before each import is not checked and click
OK. Then you can create an export file for the next day of the range and import it to ReminderPro without affecting the prior date(s). You can repeat this for each additional day as necessary.
If your practice management system allows Reminder Pro to directly access its database via an ODBC connection (meaning you do not have to export a file to be imported into Reminder Pro), then run the import for the first day of the range, navigate to
Edit > Import Setup > Update > System Setup in ReminderPro and make sure the checkbox for
Purge appointments before each import is not checked, and click
OK. Then run the import for the next day needed and repeat until all necessary days are on the calendar.
Now that the appointments are on the calendar, you can click on
Manual Start Calls and set the time you wish it to start and stop each day. It will use these same times for each day of the call session. You can then change the setting for Number of Days To Call to the number of days you wish to call in a row.
As an example, let's assume you have the appointments for Monday and Tuesday on the calendar. On Friday, you set
Call Days Ahead to
2 in the
Setup Screen, you set the
Number of Days To Call to
3, the
Start Time is
5PM, and
Stop Time is
8PM.
- On Friday (Day # 1) at 5PM, ReminderPro looks 2 days ahead on the calendar (Sunday) and finding no appointments, calls no one.
- On Saturday (Day #2) at 5PM, Reminder Pro looks 2 days ahead on the calendar (Monday) and calls those appointments.
- On Sunday (Day #3) at 5PM, Reminder Pro looks 2 days ahead on the calendar (Tuesday) and calls those appointments.
In this way, you use
Number of Days To Call to set the number of consecutive days you want Reminder Pro to run. It is not calling the same appointments each day the call session runs.
NOTE: The
Number of Days to Call setting is not the same as
Call Days Ahead. The latter refers to the number of days before the appointment to call, and is set in
Setup > Calling/Dialing.
