When you go to generate and start a call session manually you are given an option to choose a number for
Number of Days To Call. It is important to remember that this setting automatically defaults to
1 when you open
Manual Start Calls except on Fridays when it defaults to
3. You always have the option of changing this setting to whatever you desire any time you use
Manual Start Calls.
To understand the function of this setting, you must first know what
Call Days Ahead setting you are currently using. You can get this by clicking on the
Setup button and choosing the
Calling/Dialing tab.
In the example above, you can see the
Call Days Ahead setting is currently
2. This means we will be calling to remind the patient two days before their appointment.
To further explain this, if you are using a setting of 2, this is who you will be calling when:
- On Monday's we will be calling Wednesday's appointments
- On Tuesday's we will be calling for Thursday's appointments
- On Wednesday's we will be calling for Friday's appointments
- On Thursday's we will be calling for Saturday's appointments(if any)
- On Friday's we will be calling for Sunday's appointments(if any)
- On Saturday's we will be calling for Monday's appointments
- On Sunday's we will be calling for Tuesday's appointments
Now that we know our
Call Days Ahead is set at 2, we can look at a multi-day call session. We will use a session that starts on a Friday and will have a
Number of Days to Callsetting of 3. When you run your import, you placed the appointments for Monday and Tuesday on the ReminderPro calendar. In the
Manual Start Calls window, the
Start Time is set at 5:00PM and the
Stop Time is set at 9:00PM.
On Friday, ReminderPro starts the call session by looking two days ahead on the calendar (i.e. Sunday) and finds no apppointments listed so it makes no calls. This ends the first day of the of the call session. The call session itself is not done as the session is scheduled for three days.
On Saturday, without any additional input from the practice, at 5:00PM the call session continues and ReminderPro looks two days ahead on the calendar (i.e. Monday) and calls only the Monday appointments. This completes day two of the call session.
On Sunday, the third and final day of the call session, at 5:00PM, ReminderPro looks two days ahead on the calendar (i.e. Tuesday) and calls the Tuesday appointments. This completes the call session.
This setting allows you to set ReminderPro to run for weekends and holidays so the whole staff is free to spend this time without the inconvience of having to come into the office.
