InphoniteVoice has the ability to allow patients to confirm their appointment from within an email or an SMS (text) reminder. To do this, a link must be included in a message you create in the Message Builder for SMS/text messaging. This article discusses how to create an email or SMS/text message allowing linkbacks.

When creating a message in InphoniteVoice for email or SMS reminders, you can include a link which allows the customer to confirm they received the message. This "linkback" sends information back to InphoniteVoice, logging the result for the patient as Confirmed. This will be reflected on the report for the session.

Pre-Requisites
  • Your InphoniteVoice site must be publicly available.
  • The recipient's computer or phone must have internet access.

The first thing to do when setting up for linkbacks is to make sure that the URL for your InphoniteVoice server is accurate. This is set in the InphoniteVoice Admin tool, in the 'General' section, in the field at the bottom named Deployed Web URL (i.e. http://my.server.net).

To create a linkback text message, you would use "Message Text" objects from the Telephony Toolbox in the Message Builder to build your message. If you wish, you may wish to use "Variable" objects to insert the patient's name or the appointment date and time, and use the Message Text objects for other instructions or text. (See the "Sample Text Message Appointment Reminder" message in Message Builder for an example.) To insert the link, you would add or edit a Message Text object to contain the link necessary to confirm the message. You would use the RTF editor (rather than the HTML editor tab) to insert the link into your message.

To insert the Message Text object, simply drag the item from the Telephony Toolbox on the right onto your message canvas at the proper place. A window will appear. In the window, click the field on the left of the toolbar that says "Contact", and change it to "Response". The field just to the right should say "Confirmed". Simply click the Insert button to insert the link into your message.

In the above example, the term "Confirm Here", shown in parentheses, represents the hyperlinked text and should fit with the rest of the message readably.

The recipients phone or email manager will hyperlink the address you include, making it clickable. When they click the link, a response is sent back to your InphoniteVoice server, and the call session report will reflect a status of Message Confirmed.

For your convenience, you can download sample linkback messages to be imported into your InphoniteVoice installation. These messages are sample messages, populated when you run the InphoniteVoice Startup Wizard from the Dashboard toolbar. If you prefer, you can download them from the following links:


To import these messages, simply open the Message Builder in InphoniteVoice, and choose Import on the toolbar, and follow the prompts to complete the import.
